Texas Electrical Inspector Income and Work Record File
A label such as employee, contractor, or side work is not a complete record. Preserve the source document, payer, work period, expense support, reimbursement status, and unresolved classification question before a tax review.
Official public sources were checked on 2026-10-27. Recheck the current source before using this worksheet for a real decision.
1. Preserve wage, W-2, and work-expense support
What is missing until this is complete: the original wage or tax document, work period, payer, payment evidence, expense document, business or personal purpose note, reimbursement status, and a retention decision confirmed for the real tax situation. A spreadsheet total without source documents is not a traceable file.
| File group | Examples to index | Fields to retain | Do not decide here |
|---|---|---|---|
| Wages | W-2, pay statements, deposit evidence | Payer, period, issue date, amount fields, file ID | Return treatment or correction method |
| Work time | Employer record and private log | Dates, role, supervisor, hours, mismatch status | Whether time qualifies for a license |
| Work expenses | Receipt, invoice, payment proof, reimbursement record | Date, seller, item, stated purpose, reimbursement status | Deductibility |
| Career costs | Exam, reference, course, travel support | Decision, source, date, amount, paid or planned status | Tax treatment |
Questions for a CPA or tax preparer
- Which documents apply to each income source, and which original or electronic form should be retained?
- How should employer reimbursements and unreimbursed items be separated?
- What retention period applies to each real document and event?
- What correction path applies when a payer document and your record do not match?
2. Separate employee, independent work, and mixed-income records
What is missing until this is complete: the facts of the work relationship, payer record, contract or offer, control evidence, payment document, expense support, reimbursement status, and professional classification review. Receiving a particular form does not replace analysis of the actual relationship.
| Lane | Keep together | Keep separate | Review question |
|---|---|---|---|
| Employee | Offer or terms, pay statements, W-2, time record, reimbursements, benefits or policy records | Personal and unrelated side-work expenses | Do the payer records and actual work facts agree? |
| Independent work | Agreement, invoices, payment evidence, expense support, tool or facility facts, customer records | Employee wage and reimbursement records | What do behavioral, financial, and relationship facts show? |
| Mixed month | One index linking both lanes by date and payer | Do not combine totals before classification review | Which item belongs to which lane, and why? |
- Make one payer-and-work-period row for every source. Do not classify from the title alone.
- Record behavioral control, financial control, and relationship evidence using the IRS categories. Preserve uncertainty.
- Link each payment and expense to its source document and lane. Do not move an item simply to create a preferred tax result.
- Prepare unsent questions for a CPA or attorney. This learning file does not request an IRS determination or submit Form SS-8.
